Carrier Communications Policy

Auto Transport Professionals (“ATP,” “we,” “us,” or “our”) works with licensed motor carriers (“Carriers,” “you,” or “your”) for the purpose of arranging vehicle transportation services. This Carrier Privacy & Communications Policy explains how information provided by Carriers is collected, used, stored, and communicated in connection with carrier bidding, load assignment, compliance, and operational messaging.
This policy applies only to motor carriers and carrier representatives interacting with ATP through carrier bid links, intake forms, direct communications, or automated messaging systems.
1. Scope and Relationship
ATP operates solely as a transportation broker and does not provide motor carrier services. Carriers engaging with ATP do so as independent contractors and are not employees, agents, or representatives of ATP.
This policy governs:

Carrier intake and compliance data

Automated and manual communications with carriers

Carrier performance tracking related to bidding and load fulfillment
2. Information Collected From Carriers
ATP may collect and store the following information from Carriers and their authorized representatives:

Legal carrier name

USDOT number and MC number

Dispatcher and office contact information (name, email, phone number)

Driver contact information (name and phone number)

Equipment type and operating preferences
-
Insurance information (including COI details and expiration dates)

Bid amounts and bidding history

Operational responses (pickup ETA, delivery ETA, status updates)
Information may be submitted via:

Secure carrier bid links

Carrier intake forms
-
Email, SMS, or phone communications
-
Direct submission by carrier representatives
3. Purpose of Use
Carrier information is used strictly for operational and compliance purposes, including:

Evaluating and processing carrier bids

Assigning and managing loads
-
Communicating load details, updates, and requirements

Verifying insurance and compliance status
-
Tracking operational performance and responsiveness
-
Maintaining audit and compliance records
-
Preventing fraud, misuse, or unauthorized access to carrier links
ATP does not sell carrier information or use it for unrelated marketing purposes.
4. Automated Communications (Email & SMS)
By submitting a carrier bid, intake form, or otherwise engaging with ATP, you consent to receive operational communications via email, SMS, and phone, including but not limited to:

Load availability notifications

Bid confirmations or rejections

Pickup and delivery status requests
-
Compliance reminders (e.g., insurance expiration)

Award or document requests
Messaging is transactional and operational in nature, not consumer marketing.
Automated SMS messages are sent from (239) 420-2810. This number is used exclusively for operational load communications
5. SMS Compliance and Opt-Out
ATP uses SMS messaging in compliance with applicable telecommunications laws and carrier requirements, including The Campaign Registry (TCR).

Message and data rates may apply depending on your carrier plan

You may opt out of SMS communications at any time by replying STOP

For assistance, reply HELP or contact ATP directly
Opting out of SMS may limit your ability to receive time-sensitive load updates.
6. Link Security and Authorized Use
Carrier bid links and related URLs may include security measures (such as expiration or verification tokens) to prevent unauthorized access.

Links are issued for the intended Carrier only

Sharing, copying, or reusing links outside their intended scope is prohibited

Altered, expired, or unauthorized links may be rejected automatically
ATP reserves the right to invalidate links or deny access if misuse is detected.
7. Data Retention
Carrier data is retained for operational continuity, compliance, audit, dispute resolution, and legal purposes.

Bid and load records may be retained indefinitely

Compliance records may be retained beyond load completion

Carrier performance metrics may be stored for internal evaluation
ATP does not guarantee deletion of carrier data upon request where retention is required for legitimate business or legal reasons.
8. Information Sharing
Carrier information may be shared only as necessary:

Internally within ATP for dispatch and compliance

With customers, only as required to facilitate transport (e.g., driver contact at delivery)

With service providers supporting communications or compliance systems
All sharing is limited to the minimum necessary for operational purposes.
9. Carrier Responsibilities
Carriers are responsible for ensuring that:

All information provided is accurate and current

Insurance documentation is valid and maintained
-
Contact information belongs to authorized representatives
-
Communications received from ATP are monitored appropriately
Providing false or misleading information may result in suspension or exclusion from future loads.
10. Limitation of Liability
ATP is not responsible for:

Carrier internal communications or failures to respond
-
Missed messages due to carrier device, network, or carrier-side issues
-
Consequences arising from outdated or incorrect carrier-provided information
ATP’s role is limited to brokerage and coordination functions.
11. Updates to This Policy
ATP may update this Carrier Privacy & Communications Policy at any time. Updates will be posted on this page with a revised “Last Updated” date. Continued engagement with ATP after changes constitutes acceptance of the updated policy.
